Even Heise.de issued a warning about the new Outlook in November 23. According to the IT portal, the new Outlook app sends access data to IMAP and SMTP servers to Microsoft cloud servers, which then mirror users’ emails.
When asked, Microsoft explained why the new Outlook transfers access data to Microsoft servers, for example, and copies emails there, including those from other providers. The aim is to provide a “consistent user experience for all accounts added to Outlook”. However, this means that the new Outlook operates very differently to previous mail software.

Not secure in the long term
Heise.de comments: “Anyone who doesn’t want their access data and emails to end up at Microsoft will probably have no way of staying in the Microsoft cosmos for mail and groupware software in the long term if the company implements its announced plans unchanged.”

To be clear: Microsoft will have full access to emails, calendars and contacts if it agrees to synchronization.

Our conclusion
We generally advise our customers not to use Outlook when it comes to data security. EGroupware offers a secure alternative with its apps for mail, contacts and calendar. You can edit Office documents with full data control using Collabora Online.

As long as the collection of data by some software providers is not more strictly limited, control over private or business-critical data should always be a relevant criterion when selecting apps or providers.

Dear customers and EGroupware users,

For some time now, we have been using the software interface REST-API (Representational State Transfer Application Programming Interface) to enable uniform communication and data exchange between EGroupware and other applications.

The use of the interface offers an easy integration of EGroupware with different systems and thus opens the software for the connection to other solutions used by users. For example, contacts can be retrieved, used and updated from an ERP system in EGroupware.

As of now, it is also possible to send mails with attachments via REST API.
From now on, it is also possible to create application tokens that are only valid for certain users or certain applications, for example, only for the EGroupware mail app or synchronization. This eliminates the need to enter one’s own password into other clients, which makes the usage much more secure.

Another plus point is that by using the Rest API and tokens, you can also display data from or on a web page. Example: A contact form on a page enters the entered data directly into an EGroupware address book via Rest-API.

The EGroupware Rest-API is similar to CalDAV/CardDAV in the area, calendar, addresses and tasks. Also appointments in a certain calendar can be booked in such a way over a web page. Free appointments can be synchronized via CalDAV or Rest-API. For this purpose, a token can be created that is only valid for calendar & synchronization.

Information for Self-Installations

By default, the update to EGroupware 23.1 is triggered by the update of the egroupware-docker DEB/RPM package tonight (03/15-16). If you do not install the package update, there will be no automatic update to the new version.

New: Working Time Recording and Timer for Projects

On September 13, 2022, the german Federal Labor Court (BAG) ruled that employers in Germany are required to introduce a system for recording working hours.

EGroupware customers do not have to set up or buy a new solution for this – the recording of working hours is already integrated in version 23.1.

Immediately after logging in, users see a dialog that allows them to start their working time. One click is enough, and the working time recording runs discreetly in the background. When logging off, there is a reminder of the running time recording.

The button for the timekeeper is located at the top right of the menu, right next to the search function. Clicking it opens a dialog for pausing, resuming and stopping the working time. Here you will find another timer for project-related work. Both timers cooperate with the EGroupware timesheet.

The project timer also integrates with other EGroupware modules; users can, for example start it e.g. from the ticket system or the project manager.

New Features in Mail Client and File Manager

The EGroupware mail client is tidier and clearer in its three-column view. In addition, there is a new mail address widget. It transfers data from e-mails to the address book and opens the CRM view by clicking on the avatar. Also new in the mail app: users can open, read and edit attached Office documents directly in Collabora Online in the browser.

EGroupware 23.1 allows EPL version customers to set quotas in the file manager and thus limit the storage space for individual users or groups. This is especially beneficial for admins of large environments who want to manage storage use in personal directories. In addition, the file manager now displays recently uploaded files via push notifications.

Web Components and Lit

The changes in the background, which are invisible to users, enable greater user-friendliness. The layout of the dialogs has improved and clearer structures make it easier to work with the software solution. The font size can be adjusted, which is an important step in terms of accessibility. With this option, we are also launching support for screen readers, which is planned for the next release.

Our developers have also cleaned up the icons and widgets and provided a better overview. As of 23.1, many new icons in SVG format enable better readability.

Transforming Chaos to Convenience: Elsental Youth Farm’s Journey with EGroupware’s InfoLog

The Elsental Youth Farm near Stuttgart, Germany, relies on EGroupware — not just for accounting, but also for booking of leisure activities. About two years ago, they implemented a registration system with EGroupware. Parents can now sign up their children for lunch breaks, holiday camps or riding lessons.

For more than five years, EGroupware has been an invaluable assistant in the office of the Jugendfarm Elsental, especially for accounting, managing contacts and appointments. About four years ago, the Youth Farm team decided to get EGroupware more involved and to use it for other tasks as well. As a first step, they made it possible to register by email, and for the past two years, parents have been able to register as EGroupware users. They can now book lunch, riding lessons or or holiday camps for their children directly in the groupware. This has significantly simplified the booking process.

We spoke to Steffi Hudoffsky, administrative assistant in the farm office, and Christoph Boehm, the IT manager at the Youth Farm. They told us how their solution works and how the switch to the fully automated registration system worked out.

The Power of Open Source Software in Administration

The Elsental Youth Farm offers a wide range of activities: horse riding, lunch with and without homework supervision, various holiday programs — there are things going on at the farm all year round. As of January 2023, there are approximately 430 farm children; a total of between 600 and 700 children take part in activities at the Youth Farm throughout the year.

When parents sign up their children for one or more activities in Elsental, they submit not only the name and age of their kids, but also important information about food intolerances, allergies, and emergency contacts. The team manages all of this data in EGroupware as well as addresses of association members, cooperation partners, authorities, schools, etc. Christoph Boehm, who takes care of IT at Elsental, has known and used EGroupware since 2006. “Wherever possible, we use open source software at the farm,” he says. “That includes EGroupware, which is at the heart of our IT.”

His colleague Steffi Hudoffsky from the farm office takes care of data maintenance in EGroupware together with another part-time employee in administration. “Until two years ago, this involved a lot of manual work,” she reports. “During registration days, people were already queuing up from 8 in the morning so that they could hand in their written notes at 2pm. We then sorted the paperwork and transferred the data into EGroupware by hand.”

Using Email to simplify Tasks

A new solution was required — so why not extend the existing one? First, the farm team took care of the registration procedure. “This endless paperwork was inconvenient for everyone involved,” says Steffi Hudoffsky. “Starting in 2019, parents were therefore able to register their children by email.” All information on parents, their children, and the farm activities they booked were initially stored in the EGroupware address book. However, the staff quickly realized that this wasn’t such a great idea.

“The address book was totally bloated,” sighs Steffi Hudoffsky. “We recorded all the information in the contact field, including whether a child came early or late to an activity, whether the family had a bonus card, and so on. We quickly realized that we couldn’t map it that way.” In January 2021, therefore, a fundamental rebuild began, which our EGroupware support helped with. Since then, the InfoLog has recorded the activities booked, the names and dates of birth of the children, the parents’ declarations of consent for data storage and photos, any illnesses, allergies or intolerances, and more.

EGroupware’s InfoLog: The Game-Changer for Bookings

“We also redesigned the entire registration process so that parents can register themselves as users with our EGroupware instance,” Christoph Boehm tells us. “For us, it’s a huge relief that parents now make their own bookings for events and activities their children take part in.”

After about two months, the makeover was done and parents could book the first activities for the Easter holidays. During the year, the remaining activities were also added to the InfoLog. The farm team has published detailed instructions on how to register and log in (in German). After creating the user account and logging into EGroupware, parents automatically end up in the InfoLog — they have no access to other EGroupware modules.

In the InfoLog, parents find buttons at the top for booking lunch, riding lessons, holiday programs, core time for children of elementary school age, and Waldheim holidays. The individual dialogs offer input masks and checkboxes on several tabs to make the booking process easier. In addition, parents can easily copy existing entries in the InfoLog and thus register several children without much effort.

After the parents have entered everything and clicked on Save, the request is processed further by the farm team. For Steffi Hudoffsky and her colleague in the farm office, registration confirmations, invoices, etc. can now be generated and sent with just a few clicks. “I’m glad we no longer have to maintain Excel lists by hand and send out forms,” she says.

The EGroupware support team continues to assist the farm. Some activities remain the same every year, other Youth Farm offerings require changes to the InfoLog dialogs, which EGroupware is happy to help with.

DSGVO-compliant and secure

The Youth Farm uses EGroupware as a hosted solution: in our EGroupware cloud, all data is stored on German servers and the access is HTTPS encrypted. “This is really an all-inclusive carefree package for a moderate price,” says Christoph Boehm. “EGroupware supports different account types and user roles. For example, we have to make sure that parents who book holiday camp time don’t get access to address books of the kindergarten or other data. Thanks to EGroupware’s rights management for users and groups, that’s no problem.”

Steffi Hudoffsky is also pleased. “Admittedly, compared to other registration pages, our solution is quite complex, but there are only a few parents who need help. Two months from the idea to the final implementation — that’s impressive, and the EGroupware support has been really helpful. No waiting on hold, just quick replies when we need help.”

Thanks to EGroupware, the Elsental Youth Farm has significantly simplified its booking process for many activities. Information concerning the Release of EGroupware 23.1

In order to make the update to 23.1 as comfortable as possible for all users of EGroupware Cloud, we update 23.1 nightly – in case any errors will be reported and corrected. Some of our customers are already using version 23.1 productively and we are happy about everybody who wants to switch to the new version and test it. We ask EGroupware Cloud customers to contact us by e-mail. For on premises installations, we are currently working on the Release Candidate 4 and will make it available in the next few days.

Success Story: Managed DAVx5 and EGroupware in City Administration Jena

We all know how important it is to be able to access our work data at any time and from anywhere. This was also an important factor in choosing the groupware solution for the Jena city administration. For more than 15 years, EGroupware has been the central solution for team collaboration there. About two years ago, the responsible IT service providers introduced Managed DAVx⁵ [1] for employees’ smartphones. Since then, the app has been synchronizing calendars and address books via CalDAV/CardDAV between EGroupware and the employees’ smartphones. CHEMNITZ LINUX DAYS 2023

COOL Days 2023 in Cambridge

Also in March (28.+29. of March) the COOL Days will take place in Cambridge, the English hometown of EGroupware partner Collabora. During the COOL Days “Conference and Hackfest” the Collabora Road Map will be presented, visitors will get to know brand new features and have plenty of opportunities to network during teambuilding events. EGroupware CEO Birgit Becker will be there and is looking forward to meeting as many of you as possible.

Network Day OSBA (Open Source Business Alliance)

Since November 2022, our managing director Birgit Becker has been a member of the OSBA’s extended board. The year 2022 has brought a record number of new members to the OSB Alliance: 33 companies, universities, associations and private supporting members have decided to join the alliance. This means that the OSBA has exceeded the 200-member mark. It is obvious here that the goals of the OSBA coincide with the goals of many stakeholders from business, society and politics. We are happy to be part of it and already invite you to the network day on 11/16/2023.
